General information

Please contact georgia@conference.nz if you have questions about participating in the Congress as an in-person presenter.

Abstracts within Symposia (IN-PERSON)

Symposia leads will determine the order and timing of talks within their Symposia. Generally, talks will be 20-minute presentations (15-minute presentation and 5 minutes Q&A).

Stand-alone papers (IN-PERSON)

This will be strictly a 20-minute presentation (15-minute presentation and 5 minutes Q&A).

Presentation

Preparation

  • We recommend using PowerPoint for your slides and in 16:9 aspect ratio. There is no expectation that you use any particular Congress branding.
  • Embedded videos can be played but also have them downloaded as a back up.
  • We suggest embedding all fonts being used in your PowerPoint presentation when saving the file, as sometimes on other devices, these fonts are not supported.
  • Please name your presentation file: 'paper number_surname as per registration'. E.g. 123_Watson

Uploading

  • You are welcome to upload your PowerPoint presentation via the button above. Navigate to the day you are presenting and upload your presentation there. Please upload only one file, if you need to amend this file, please let Te Awa know.

Onsite

  • Each room is equipped with a camera, PC, projector, screen, lapel microphone and handheld microphone. Your presentation will be recorded and made available to all attendees so it's crucial that you present from the PC to ensure virtual attendees can see and hear you.
  • Check in at the information desk in your venue no later than one day prior to your presentation and upload your presentation with the speaker prep team. All venues will be open from 8.00am - 5.00pm from 29 June - 5 July. If you upload to the portal ahead of time, this is not required unless you have made changes.
  • Bring your presentation on a USB and also have it saved in a second location you can easily access (online) as a back up. We are asking that presenters do not use their own computers for presentations.
  • On the day of your presentation, meet at your venue in the catering break prior to start of your session and check in with speaker prep team.
  • At the end of your talk, the Chairperson will conduct Q&A for the remainder of your allocated time. The Chairperson will take questions from the online platform/app and any questions from in-person attendees, and read them out for you to answer. If you do not wish to participate in Q&A, the chair will close the presentation.
  • If you require onsite assistance, touch base with the information desk team in your venue and/or find contact details on the help sheet at the front of the room.

PowerPoint tips (not compulsory)

  • Choose a font style and size that your audience can read from a distance.
  • Keep your text simple and minimize the amount of text on your slides.
  • Use art to help convey your message.
  • Make slide backgrounds subtle and keep them consistent.
  • Use high contrast between background color and text color.
  • Avoid UPPERCASE letters as they are hard to read.
  • Avoid having lots of photos or colors behind text as this can make it hard to read.

General

  • Note all sessions are recorded and made available to attendees post Congress.
