VIRTUAL PRESENTER

General information

Please contact georgia@conference.nz if you have questions about participating in the Congress as a virtual presenter.

Please click above to upload your pre-recorded presentation directly to our Google Drive folder.

To ensure a seamless experience for both in-person and virtual attendees, we are asking all virtual presenters to pre-record their presentations. With over 1,000 presentations across 22 parallel streams, this approach helps us:

  • Avoid time zone conflicts for virtual presenters
  • Prevent time-wasting interruptions due to internet connectivity issues during live sessions
  • Ensure every session starts and finishes on time

Pre-recording also allows us to test and load each presentation properly in advance. We appreciate your understanding and support in helping us deliver a smooth Congress experience.

Abstracts within Symposia (VIRTUAL)

Symposia leads will determine the order and timing of talks within their Symposia. Generally, talks will be 20-minute presentations (15-minute presentation and 5 minutes Q&A).

Stand-alone papers (VIRTUAL)

This will be strictly a 20-minute presentation (15-minute presentation and 5 minutes Q&A).

Pre-recorded presentation

  • All virtual pre-recorded presentations are due by end of day Sunday 8 June 2025 (AOE).
  • There is no compulsory way that you must record your presentation, but if you're unsure where to start, you might find these PowerPoint recording instructions helpful. We recommend doing a short test before filming the entire presentation to check everything is working correctly e.g. slide transitions, audio, embedded videos.
  • Your pre-recorded presentation must be submitted in a MP4 format and of high quality.
  • We recommend using PowerPoint for your slides and in 16:9 aspect ratio. There is no expectation that you use any particular Congress branding.

Helpful filming tips:

  • Make sure you have a stable Internet connection ahead of time.
  • If you are using a laptop, make sure it is fully charged.
  • Turn off notifications so you don't see or hear pop ups in your recording.

Uploading:

  • Please upload via the button above. Navigate to the day you are presenting and upload your presentation there.
  • Please name your presentation file: 'paper number_surname as per registration'. E.g. 123_Watson
  • Any pre-recorded presentation over 18 minutes will be automatically deleted and will need to be re-recorded and re-uploaded under this time limit.

PowerPoint tips (not compulsory)

  • Choose a font style and size that your audience can read from a distance.
  • Keep your text simple and minimize the amount of text on your slides.
  • Use art to help convey your message.
  • Make slide backgrounds subtle and keep them consistent.
  • Use high contrast between background color and text color.
  • Avoid UPPERCASE letters as they are hard to read.
  • Avoid having lots of photos or colors behind text as this can make it hard to read.

General

  • Please find an additional information sheet here.
  • Note all sessions are recorded and made available to attendees post Congress.

Attending the Congress

  • You will be sent a link to the virtual platform, a couple of days prior to the Congress. The platform is user friendly and you will be able to navigate to various talks you wish to watch. When it's your time to present, your pre-recorded presentation will automatically play (you'll be able to watch along if you wish).
  • If you wish to participate in live Q&A, you will join as a presenter and watch your presentation on mute. At the end of your talk, the Chairperson will introduce you to take yourself off mute and join for live Q&A. The Chairperson will take questions from the online platform/app and any questions from in-person attendees, and read them out for you to answer. If you do not wish to join for live Q&A, the chair will close the presentation.
